Please read the following before you book a holiday.
If you have any questions regarding how to book, how your trip will be organised, or what is included in the services provided by KOOTCH Adventure Travel, please contact us.
Please note that our trips are by nature active and often in remote areas. It is therefore very important that you understand exactly what is involved and are confident that you can fully participate in all activities included in the trip. If having read the literature, you are unsure about a trip's suitability please contact us on 020 71933344 and speak to one of us.
Trip bookings can be made online by going to the 'Dates and Prices' section of your chosen trip, and clicking the 'Book Now' button that corresponds with your desired departure.
Our trips are listed on the Trekking, Biking, Skiing and exploring pages of our website, together with a brief description of the trip, including its grade.
Click on More Information for detailed description of the tour including itinerary, start dates, availability, prices and photos.
You can book a trip online by going to the 'Dates and Prices' section of your chosen trip and clicking on the Book This button that corresponds to your desired start date (if a trips booking status is closed, it means that it is fully booked).
Fill out all the sections of the Booking Form and click on the Book Now button. It is essential that all sections are carefully completed, ensuring information given is clear and accurate, and that the details provided are exactly as they appear on your passport. Do not use abbreviations such as Jon instead of Jonathan.
Note: We cannot confirm any booking until we receive your fully completed booking form. Any unreasonable delay in submitting your booking form may jeopardise your place on your chosen trip.
Before Booking Your Trip
Before booking a holiday with KOOTCH Adventure Travel please ensure that you are aware of the following important issues:
Check Availability
Ensure that the availability of the trip you wish to travel on is not 'closed'. This can be done by visiting the 'Dates and Prices' section of the trip, or by contacting us.
Travel Insurance
Suitable travel insurance is mandatory for everyone on a KOOTCH Adventure Travel holiday. You must declare any pre-existing medical conditions to your insurers and ensure that you receive written confirmation that these medical conditions are fully insured. You must take a copy of your insurance policy with you on your holiday.
Note: Failure to have sufficient insurance cover will result in cancellation of your holiday with cancellation charges being applied.
Passports
Most of the countries now require you to have at least 6 months validity on your passport from the time you finish your holiday.
Visas
Please ensure that you have adequate time to arrange these prior to departure. You must allow at least one free page in your passport for any visa required.
Personal Details
You must give us your name exactly as it appears in your passport.
General Information
You will be asked if you have read and understood the Booking Conditions when you book, and you are obliged to do so.
Deposit Payment
Your booking form must include a £200 deposit per person. We can take card payments online.
Confirming Your Booking
Once agreed, we will send you full written confirmation of your booking and your trip invoice, which will have to be paid at least 8 weeks before the start date of your tour.
Booking Your Flights
You must check that your chosen trip has reached the minimum numbers required and is guaranteed to run before paying for your airline tickets. Check with the KOOTCH office or check the trip status on the website. We cannot be held liable for any losses incurred relating to any flight booking or any other related costs, in cases where we cancel the trip you have booked. For example, if the minimum number of clients required for a particular tour is not reached, we may have to cancel your trip
Changing Your Booking
If any of the information given on your booking form should change, eg passport number or contact details, it is important that you advise us immediately. Failure to do so may result in airlines or government authorities levying charges for which you would be liable.
Should you wish to alter your holiday booking once it has been made, eg to arrange a later flight home, an administration fee of £50, plus any further costs incurred, will be charged. If you wish to add equipment hire to your booking, we will make the necessary arrangements and send you a revised account statement, due for payment no later than 8 weeks prior to departure.
If you decide to transfer your booking to an alternative departure or holiday, an administration fee of £50 plus any further costs incurred will be charged. However, please note that we are unable to transfer your booking to an alternative holiday later than 10 weeks prior to the trip departure date. Please see our Booking Conditions for further important information on making changes to your booking.
Paying Your Balance
You must ensure that you forward the balance of your payment to us 8 weeks prior to departure (payment due date is shown on your invoice).
WARNING: No final invoices or reminders will be sent out.
You can make final payments either by cheque, made payable to KOOTCH Adventure Travel or by credit or debit card.
If we do not receive payment by the date shown on your invoice, we reserve the right to cancel your booking and apply any cancellation charges. You must also ensure that you provide us with details of your insurance policy, when making your final payment.
Final Arrangements
We will send you a receipt for your payment, together with full joining instructions, approximately 4 weeks prior to departure. The letter will include instructions on how to meet up with others in your group. It will include a summary of any additional services you have requested and will also provide a timely checklist to ensure you have everything in order for your forthcoming holiday.
